Air Ambulance Transport

Our services will include every aspect of the operation from start to finish, from coordinating ground ambulances at origin and destination to hospital admission at a higher level of care facility. Before every transport, our specialized Eligibility and Claims Team will work diligently on behalf of the patient to determine the type of insurance benefits and avoid any out-of-pocket expenses. At this time we do not perform Neonatal or ECMO transports.

For the safety of your patient, or family member, it’s important to know that air ambulance brokers and air ambulance direct service providers are not the same.

Brokers

A broker does not own the aircraft, equipment or employ the medical teams or pilots that are providing care for your patient. They advertise as an air ambulance service when you call for a quote, but then indiscriminately call multiple providers, add a “middleman fee” to the quote and turn the flight over to the cheapest provider.

Direct Service Providers

The advantage of dealing with an air ambulance direct provider is that they control the quality of their service and patient care because they employ the pilots and medical crews, own the aircraft and equipment, and directly oversee all operations, thereby ensuring that your patient, family member, is in the most capable hands during this transfer.

We know that “medical necessity” definitions will vary from one policy to the next and the Claim Team will work diligently on behalf of the patient to determine the type of benefits they have and can speak directly to the family to answer any questions they have about their coverage. This helps reduce the level of stress from the situation and enables patients to focus their energy on treatment and recovery.

When faced with the task of coordinating a patient transfer there are many factors to consider. If you have experience it will make the task easier however if you have never coordinated a transfer then you will need a trusted resource to assist you as you navigate the lengthy, complicated, sometimes confusing process. Our experienced Flight Coordinators can help walk you through the steps or take over from start to finish. Our knowledgeable Team has extensive experience in the air ambulance industry and they are committed to assisting you with every aspect of your patient transfer. They provide a wealth of knowledge about different types of transfers, sending and receiving hospital systems, airport and flight restrictions and information you never thought to ask. Our mission is to provide a seamless bedside-to-bedside patient transfer, including contacting the patient’s insurance provider to confirm available air ambulance benefits to help ease the burden of this medical crisis, taking the stress off you and your patient families. When you request an initial quote for the family or your Administration keep this in mind

If this is a private-pay request for transfer, we will provide you with an all-inclusive bedside-to-bedside quote. This quote, which will include additional information about the process, can be faxed or emailed to you or the family. If they accept the quote, our Flight Coordinator will send you a Transport and Financial Agreement for the family to review, complete and return and they will begin the coordination process keeping you, the family and receiving facility in the loop throughout the process. 

If this is an insurance request for transfer and the family, or the Administration, would like our Claims Team to research air ambulance benefits we can do that with the family's authorization and Face Sheet. We understand that “medical necessity” definitions will vary from one policy to the next, so our Claims Team will analyze the plan language thoroughly on behalf of your request. When they have completed their benefits check, they will contact you to advise you of their findings so that you may consult with the family or they can speak directly to the family to answer any questions they might have about their coverage. 

Have this information ready prior to making your call to our Flight Coordinators:

• Basic patient demographic information, including the patient’s full name, date of birth, age and weight.
• Medical Report or Records, including diagnosis and H&P. All patient transfers are reviewed by our Clinical Director to ensure continuum of care and our medical team will get a full medical report from the patient's Nurse prior to transport. You can fax those to 619.330.4551. 
• Insurance information. A Face Sheet will have the information we will need to research air ambulance benefits, as well as the demographics of the patient. We can check into these benefits with the family’s permission. 
• Current patient location, including the name of the destination hospital/facility and your point of contact there. We will contact the receiving facility to confirm the transfer, obtain additional transfer information and update them throughout the flight. 
• Passengers' information, including name, date of birth, weight and relationship. We can speak to the family directly to obtain this information, if you’d like, and to provide the family an opportunity to answer questions they may have regarding the process. Depending on the aircraft and patient needs, at least 2 family members will be able to accompany the patient during the flight.
• Approximate transfer date so that we can reserve an aircraft and crew for the transfer

NOTE: if this is an International Transfer, we will need additional information and documents prior to scheduling a flight including:

• Front and Back copies of Passport for patient and passengers
• Nationality and Visa information, if required.
